Position: Executive Director

Job Description:
The Costume Society of America seeks a dynamic individual for the position of Executive Director to help guide the organization as it moves forward. The executive director will have highly developed organizational qualities, be an excellent communicator and problem solver, and be detail oriented. S/he will have 3-5 years management experience, as well as experience with contracts, budgets and schedules, strong computer skills-including database management, and offer exceptional customer service. The ideal candidate will also have an understanding of aspects of dress and appearance related to education, research, preservation and design.

I. General Administration and Member Services

Provide central headquarters administration for the association, which includes:

  • A permanent mailing address of the organization
  • Telephone answering service (not necessarily an 800 number)
  • Space to maintain and store association files, archives and records in paper and electronic form
  • Space to maintain and store adequate supplies of association printed materials (stationery, labels, membership applications, brochures, symposium abstracts, Dress, and other publications. etc.)
  • Forwarding questions/requests to appropriate VP or committee chair
  • Member Services

  • Respond to routine membership inquiries; provide technical support to members needing assistance with the website, accessing the online newsletter, etc.
  • Maintain database of members and supplemental database of prospective members; keep an active spreadsheet for member requests for hardcopy mailings
  • Send renewals and drop letters
  • Generate and distribute 4 tailored reports with customized formatting on a monthly basis: Lapsed Member, Cumulative Region Report, New Member Report, and Report by Region Charts
  • Respond to requests for member mailing lists/labels
  • Member Correspondence: Upload member email lists on monthly basis for distribution of CSA related emails such as notifications, e-news, and surveys
  • II. Finances/Bookkeeping Services

    Exhibit a sense of stewardship and economy in shepherding the funds of CSA including:

  • Establish and manage bank accounts and pay invoices approved by the CSA Treasurer
  • Administer the charge card payment system
  • Furnish monthly budget summaries to the Treasurer and President of the Board of Directors and periodic and annual financial reports, with input and collaboration of the Treasurer, for distribution to the Board of Directors
  • Establish accountant and lawyer relationships for consultation
  • Manage transfer of funds from on-line membership renewal process made as donations to the Endowment
  • III. Board and Executive Committee Support

    Provide support of three BOD meetings and two meetings of the EC:

  • Maintain the CSA board roster and post to website
  • Notify BOD and EC members about meetings; monitor attendance to assure a quorum
  • Supervise dissemination of VP reports
  • Receive from Secretary and send out minutes; keep on file
  • Elections Support

  • Work with Nominating Committee Chair to vet Board of Directors candidates
  • Create and distribute Survey Monkey ballots; send corresponding paper ballots to members who request hardcopy mailings
  • IV. Annual Symposium

  • Plan national symposium event through Conference Direct or similar service
  • Assist national symposium committee with on-site management
  • V. Publications

    Monthly E-News, Electronic CSA News, CSA Series Titles, Annual Abstracts:

  • Forward questions/requests to appropriate VP or committee chair
  • Manage CSA series books through Texas Tech University Press (place orders, coordinate shipments, coordinate royalties, pay invoices)
  • Edit publications, fliers, letters, etc. as needed to maintain uniformity and the organization’s image/brand
  • VI. Dress and Maney incl. membership database

    Serve as Primary contact with Maney Publishing to:

  • Coordinate orders and shipments
  • Work with Maney in submitting the list of current members to receive Dress
  • Serve as the Primary contact for fulfilling requests from Maney Publishing for back issues of Dress
  • Coordinate the royalties and editorial stipend from Dress (Maney)
  • VII. Awards, Grants, Honors support

    Provide support services to the VP of Awards, Grants, Honors

  • Receive, gather and send/forward submissions to all Award, Grant, Honor Chairs for review
  • Confirm membership of awardees
  • Co-ordinate transfer of funds from individually-funded grants to recipients
  • Process payments and monitor the distribution of awards
  • VII. Fundraising

  • Identify potential sponsors for national symposia
  • Qualifications:

    I. Leadership Skills

  • Is able to work with and advise volunteers using diplomacy skills
  • Develops and maintains good working relationships internally and externally
  • Supports organizational strategic planning activities and can set priorities by understanding the needs of the EC and the BOD for growth, change and future development of the organization
  • Has experience in organizational underwriting for the national symposium and other programs.
  • II. Personal Qualifications

  • Understands all aspects of dress and appearance, as listed in the CSA tag line
  • Possesses good written and verbal communication skills
  • Knows of and is able to use technology—software programs and the internet
  • Is ethical in dealings using best business practices
  • Is detail oriented, a leader, flexible, adaptable, organized, personable, confident, a people person with a natural attribute for connecting people and problem solver
  • Works well under pressure and is a decision maker
  • III. Management Skills

  • Possesses PR skills, management and leadership capabilities
  • Analyzes financial data
  • Manages association membership
  • Keeps skills up to date
  • Participates with a management association for leadership management skills to keep up to date in management best practices and ultimately become a certified association manager
  • Application deadline: Application reviews will begin November 10. Preferred start date December 1, 2014.
